Report on empty O365 groups
Flag O365 groups that have no members (and owners - if that's the case) and help us simplify the clean up process.

Ability to export a list of all inactive groups
Have the ability to export the report showing all inactive groups in my tenant

You can use the Manage Export to filter groups and identify the ones that have been inactive.

External users/guests validation by group owners
Include a periodical check if guests are still needed
There is a need to also check the guests periodically (every 30, 60, 90, or 180 Days).
There an owner should decide for every guest if access is still needed or access should be removed automatically.27 votesDear ShareGate Apricot users,
We’ve added the Guest Review experience for the owners that go with the external sharing links review. The review is a 2 steps process starting with guest review and then external sharing link reviews.
You can also adapt the frequency at which the external shares review occurs based on the level of sensitivity of a group. (blog link here: https://sharegate.com/blog/update-auto-apply-customized-governance-policies-to-microsoft-teams)
In addition, we’re currently adding more information on the admin side to let you know when guests are inactive.

Export data from the activity feed in Excel and/or CSV
Add an export in Excel or CSV of metadata in the activity feed to pull out, for example, all the last created ones in last February. and bring that data into a meeting with stakeholders.

Ability to delete an unused group
It would be nice to be able to delete an unused group that does not need to be archived.

Part 2/2 is done! The Delete option is now available for owners as a new action in the email.
You can start by proposing Keep and Delete actions when entrusting an inactive group, and then, when your Azure storage is set up the Archive action will be available in the email.

Flag groups with no members
Resurface groups that have no members and display it in the app

Since our latest update in ShareGate Apricot we’ve added a new colunm member inside the groups list. https://apricot.sharegate.com/groups
You can sort the column to resurface groups with no member.
I wonder now what’s your next outcome from there? Once you’ve detected groups with no member what do you do with thoses groups?

Add custom archive options
Archive unused groups:
To own local region storage: Add storage in local region, that would satisfy some people's security requirement, instead of storing archived groups in ShareGate's storage.
To a preferred Azure storage: There should be an option to archive Groups to other storage, like Azure.
To a specific SharePoint site in O365 for which only IT would have access
To internal Filesharing solutions or own file servers.

Trigger bot to get the group purpose of existing Teams
I'd like to be able to trigger the Apricot bot for existing Teams to get group purpose automatically. Currently only newly created Teams trigger the bot. I'd like to trigger and collect for Teams that existed before Apricot was deployed.

You can now contact owners of pre-existing teams with “Ask owner(s)” option for both purpose and sensitivity.
Simply go to the manage page, select Teams without purpose/sensitivity and use the bulk action Ask owner(s).
A notification via Teams will be sent to the owner(s) to collect the purpose and the sensitivity.

Ability to assign sensitivity labels to O365 groups via ShareGate Apricot
Abilitiy to apply sensitivity labels to an O365 group, which would allow users to assign governance policies in accordance.
Sometimes governance policies are determined not only by categories/classification, but also sensitivity labels.
12 votesSince out latest release, it is now possible to categorize a group by its sensitivity and apply the right security settings accordingly.
You can also use the Teams Chatbot to ask the owners how sensitivity the information contained in a group will be.
In the future, we’ll give the possibility to schedule different recurrence for the external sharing reviews depending on the groups’ sensitivity.

See who deleted Teams/Groups
It would be great to see which employee deleting the teams in the activity dashboard.

From now on, you can see who Deleted Teams/Groups in the activity page only if the action is done through ShareGate Apricot.
Next in the backlog: Get notified when a Teams/Groups is created/deleted and export CSV.

Flag guest accounts in M365 groups
We have lots of MS Teams that have guests accounts as members of the team. It should be considered for the external sharing review.

We’ve made identifying teams and groups with guests super easy! Simply filter by “Teams with guests/external links to review” at the top of the Manage page, and you’ll see a column dedicated to guests.
Use the advanced filters for multiple combination (only links, only guests or both)

Add the number of members to the Groups list
Add the number of members to the groups list to be able to see groups that just have an owner and no members.

We’ve just added the columns members inside the groups list, with the default view (no filter).

Bulk edit selected groups
I like the idea of selecting multiple groups from the Groups page and doing a bulk action.
- For example, adding an owner, removing a member, deleting the selected groups, etc.

Ability to set automated activity notifications sent to admins
Provide Admins of Apricot with automated email alerts when there is specific activity such as external file sharing, group creation, etc.
It would be good to have the option to have alerts sent whenever there is any activity, a group added, or files shared externally. If I don’t really want to entrust the group owners, it would be nice to have the option to just have myself alerted instead.

Assist users with the creation of Office 365 groups
Would love to have an automated creation of groups process that could ask a couple of questions to owners before their group is really created. In brief, to have help with the beginning of the lifecycle of Office 365 groups.
Also, ShareGate Apricot’s inactivity detection would mean that the end of the lifecycle of O365 groups are also covered.

Ability to sort and search the activity feed
The ability to sort / search the activity list. I want to see every deleted activity.
- Sort by deleted, created, entrusted, date, time
- General search by group name, owner name, type of activity.

You’re now able to filter by activity type, by date range and user.

Ability to modify group owners and members
I'd like to be able to modify group owners/members directly in ShareGate Apricot.
For example, add and remove owners/members.

All you have to do is open the group details and take action within the membership area.

Apply a different unused group policy to different departments
It would be great to be able to search for these groups and opt them out of entrustment / or if there was a separate policy I could apply to them to say Never instead of the 90 days.
- Thus, instead of having the policy being applied to the whole tenant, it could be divided within department, business units, teams, etc.
6 votesWe’ve just release this week the possibility to assign specific inactivity threshold per group purpose.
This way, departmental teams can only be flagged as inactive after a longer period than time-based projects.
All you have to do is go into the Settings-Categorization section and apply different thresholds on each purpose.
To make sure that each team in your environment has a purpose, do not hesitate to active our Microsoft Teams chatbot.
